Accounts receivable

Accounts receivable automation software for subscription revenue

Accounts receivable automation software collects money owed to a business without manual chasing. It sends invoice reminders on a schedule, gives customers a pay-now link, records promises to pay and escalates overdue accounts. RevRescue does this for subscription companies and also recovers failed card charges, so invoices and cards sit in one queue.

Subscription AR is two problems in one queue

A subscription business usually collects money in two ways. Smaller customers pay by card on autopay, and when a charge fails the money is past due without anyone sending an invoice. Larger customers pay by invoice with terms such as net 15 or net 30, and when they pay late the money is overdue on the aging report. Most AR tools only see the second group. Most dunning tools only see the first.

RevRescue imports both from Stripe, Chargebee, Paddle or Shopify, so a past due card charge and a 31 day overdue invoice show up in the same list, ranked by value and age. Card failures go through smart payment retries and card update requests. Invoices go through the follow-up sequence below. High-value accounts on either side are handed to the account owner in your CRM.

Set up AR automation in about ten minutes

  1. 1

    Connect your billing platform

Add a Stripe restricted key, or connect Chargebee, Paddle or Shopify. Open invoices and failed charges import right away.

  2. 2

    Choose thresholds

Set the amount above which an account goes to a person instead of an automated message, for example 2,000 USD.

  3. 3

    Review the default sequences

Edit wording, sender name, channels and timing. Email is on by default. SMS goes only to your own customers who consented, with opt-out in every message.

  4. 4

Switch on and watch the aging report shrink

Paid invoices close automatically and show up as recovered revenue on the Revenue at Risk dashboard.

Why automated reminders get paid faster

Late payment is rarely a refusal. Far more often the invoice went to an inbox nobody checks, the approver was on holiday, or the payment needed a purchase order number that was missing. A consistent sequence fixes most of this on its own, because each reminder is another chance for the right person to see it, and the pay-now link removes the step of logging into a bank portal.

Consistency also matters for your team. Manual chasing tends to happen in bursts at month end and stops when people get busy. An automated sequence sends day 7 reminders on day 7 every time, and it keeps a full record of what was sent and when, which helps when a customer later says they never received anything.

  • Reminders reply-to your own AR inbox, so answers reach a person.
  • Each message includes the invoice number, amount, due date and a one-click payment page.
  • Customers can choose a promise date themselves, which pauses reminders until that date.
  • All actions are written to an audit log, as described on the security page.

Flat pricing instead of a collection fee

Collection agencies and some recovery tools charge a percentage of what they bring in. RevRescue charges a flat monthly fee by your MRR band and you keep everything collected: Starter 99 USD a month for MRR up to 50k, Growth 299 USD up to 250k, Scale 799 USD up to 1M and Enterprise 1,999 USD above 1M. Yearly billing is 50 percent off. Every plan includes invoice follow-up, card recovery and Leak Scan for revenue leakage. Details are on pricing.

Frequently asked questions

What is accounts receivable automation?

It is software that handles routine collection work, such as reminders, payment links, promise tracking and escalation, so finance teams only step in for exceptions and large accounts.

Does RevRescue replace my accounting system?

No. Invoices stay in your billing platform and accounting system. RevRescue reads open invoices and failed charges, runs the follow-up and marks them paid when your billing platform records the payment.

Can I stop reminders for a specific customer?

Yes. You can pause any account, mark an invoice as disputed or exclude a customer group. Reminders also pause automatically when a promise to pay is recorded.

Is AR automation worth it for a small SaaS company?

Usually yes once you have more than a handful of invoice customers or regular card failures, because the time spent chasing grows with every account. The recovery calculator shows a rough estimate before you sign up.

Which channels are used to contact customers?

Email by default, an in-app banner if you add the snippet, and SMS only to your own customers who gave consent, with opt-out in every message.
